Key Features of New CMMS Improve Efficiency of Health Care System
Stanley identified several key tasks he and his department needed to be able to accomplish with the new CMMS.
"First, I wanted it to be able to run reports, and several different types of reports," he says. "I wanted to see a man-hour report for each location. How much time are we spending at location X?" The payback for that specific function arrived quickly.
"A couple of good things came out of that," he says. "I could see we were spending a lot of time at one of the older buildings. I wanted to find out what we needed to upgrade to reduce the number of hours we spend there.
"I use those reports for an annual report, as well. That tells me whether I need to hire more people or whether I have too many people. Do I have to hire an outside contractor to help me out with this particular situation? Having those reports was critical to me."
The CMMS also was an essential component in helping the department in making the inevitable transition from reactive maintenance to preventive maintenance (PM).
"It was critical to be able to project preventive maintenance schedules," Stanley says. "I don't want to have to look up when a PM is due. With this report, it should automatically pop up on my screen."
The transition to PM is especially challenging for the corporation because of the far-flung nature of its facilities and the number of assets in each location.
"When you have 17 locations, the number of assets is tremendous," he says. "We have about 2,000 of them listed now. And of course, with those assets, there are 2,000 PMs that come in, and they're sporadic. Some of them might be PM'd every three months, and some of them might be every six months."
Stanley also wanted the new CMMS to enable technicians to take full advantage of operations and maintenance (O&M) manuals from equipment manufacturers.
"I looked for a CMMS with the ability to scan in an O&M manual," he says. "In other words, I scan that in, so when my work order shows up, I have the ability to open up that O&M manual and have it tell me exactly what I need to be doing. That's important because you can generate a work order that says, 'Go do preventive maintenance on a rooftop (unit).' But it doesn't tell you what to do, from brand to brand to brand."
