time management concept

Facilities professionals are often understaffed, overworked, and overwhelmed. As organizations grow, merge, and evolve, the responsibilities of facility teams grow more complex. So, how can managers reclaim their time?

In this session, Eli Stoehr, director of national sales at The Pavement Group, shares insights on project management in pavement maintenance and repair, focusing on implementing technology, communication, and efficient processes. The session aims to help facility managers improve project outcomes through better scopes, budgeting, vendor selection, and project punchouts.

Stoehr stresses the importance of developing better scopes through pre-construction meetings, clear communication about property goals, and data-driven assessments.

Sharing budgets with trusted contractors can ensure accurate quotes and effective project planning. In addition, data-driven insights support better financial planning and reduce the need for costly reactive repairs.

When selecting vendors, managers should evaluate contractors on criteria beyond pricing, focusing on quality, communication, and alignment with values. Look for vendors that provide continuous training and give clear expectations.

Project punchouts are another critical focus area. By implementing project management software like Basecamp, all stakeholders have real-time access to project updates, tasks, and checklists. Technology further streamlines punchouts by providing exact photo documentation of work performed, making it easy for managers to verify project completion.

To ensure project punchouts go smoothly, facility managers should avoid skipping final project reviews and communicate expectations with contractors before starting a job. Implementing a project management tool can improve accountability and transparency, saving time on follow-ups and post-completion checks. In addition, hold regular meetings with portfolio vendors to maintain accountability and address issues proactively. This strategy fosters stronger relationships and ensures that all parties stay informed on project statuses, reducing the risk of miscommunication and ensuring smooth project progression.
