G-REX Solution Delivers "Smart Leasing" Intelligence, Efficiency and Mobility

RESTON, VA -- Appian, the market leader in modern business process management (BPM) software, has announced that the General Services Administration Public Buildings Service(GSA PBS) has deployed the Appian-based GSA Real Estate Exchange (G-REX) solution to modernize Federal lease procurement through "Smart Leasing." The transformative solution was developed and deployed in less than 18 months, on-time and on-budget.

GSA PBS, the landlord for the civilian Federal Government, owns or leases about 92,000 assets, and has an inventory of 375 million square feet of workspace. Over 1 million federal employees work in spaces that are part of the PBS inventory. The G-REX solution is pioneering GSA's transformation from siloed and separated divisions to a more inter-connected organization that better understands the impact of the work performed, and how that work aligns to agency goals. The solution streamlines, simplifies, and monitors the government leasing process for both GSA leasing specialists and employees of other agencies who have been delegated to administrate the leasing process.

The system features many innovative integrated components, including:

    Mobile Market Survey App: a native mobile application for Apple, Android and BlackBerry devices designed for on-the-go leasing specialists. It enables Federal leasing professionals to upload images and enter building data from any location. The data captured within the app automatically pre-populates the lease document.
    Present Value Comparison Tool:a tool that automatically calculates the Present Value Analysis across all received lease offers. Through future enhancements, G-REX will allow the offerer to input their proposed rates, allowing for a faster exchange of information, and collecting a snapshot of rates relative to market for future decision making.
    Lease Clause Builder: by responding to a series of web form questions, G-REX simplifies the construction of a lease by automatically adding required and optional paragraphs. This tool verifies that policy considerations are accounted for in every lease developed within G-REX, reducing the possibility of human error and policy omissions.
    Reports and Dashboards: Appian's sophisticated reporting capabilities provide insight into workload management through metrics that identify procurement cycle times, and opportunities for process improvement. The data collected by G-REX empowers leasing specialists to better understand how government requirements interact with the market, ultimately enabling lease professionals to make more informed decisions.

G-REX includes more than 60 process models, 1,300 task activities, and extensible web services integrations with enterprise document management, Single Sign-On (SSO) & identity management, SOA framework, and building inventory systems. It supports team roles, task assignments, and task ownership, guiding users through lease model specifications to accelerate work completion and response time to policy changes. It capitalizes on existing GSA PBS IT assets for seamless data exchange, reducing data input, and increasing data accuracy. It also automates document generation for items such as project schedules, acquisition plans, lease file checklists, RLP/Lease, and more, while supporting electronic file management and digital routing and approvals.
